Policies for Facility Use Requests 

Campus Athletics/Athletics Facilities at Lehigh University are excited to see the growing interest in utilizing our facilities at Grace Hall and Taylor Gym for various events and recreational clubs of special interest. However, this increased demand has made it challenging to equitably accommodate all requests within our current space and programming priorities.

To address this and ensure fair access for everyone, we will be implementing regularly scheduled recreational programs that are accessible and inclusive to all members of our community. This approach will help us maintain a balanced use of our facilities while continuing to support a wide range of activities.

We appreciate your understanding and cooperation as we strive to serve our entire community better.

 

Scheduled Recreation Times:

  • Scheduled Sessions: Dedicated times will be supported by Campus Athletics staff and will utilize Grace Hall and Taylor Gym for recreational play open to all students, faculty and staff.
  • Cancellation: Due to priority scheduling, drop-in recreation for these themed opportunities may be cancelled. Scheduled recreational opportunities are limited to the academic term only and not available during break periods or summer months.
  • Recognized student clubs: due to increasing student populations on campus, recreational clubs are not offered exclusive use to the facilities as we are limited in both size and scope.  All activities shall be open to the full community for recreational enjoyment.
  • Equipment: all the equipment needed for scheduled recreational play will be provided.  No individual equipment is permitted to be set up, no added floor tape unless it is part of the Campus Athletics programs. Special equipment requests need approval by the program directors.

 

Summer Open Recreation (Taylor Gym only)

·       Basketball Court: The Taylor Gym basketball court is available for pick up basketball use only during the following times.

o   Monday – Thursday 11:00 am – 9:00 pm

·       Grace Hall is not available for unscheduled recreational use.

Special Event Requests:

  • Formal Request: Student groups or departments interested in hosting a special event must submit an email to Allen Biddinger at afb2@lehigh.edu.  Each group is permitted one event within the academic cycle.
  • Priority Scheduling: Repeated weekly requests for set times are not prioritized within the athletics facilities.
  • Requests Outside Normal Operational Hours: Any requests falling outside the normal operational hours of any facility will require a "special event" request.
  • Supervision Costs: These requests will incur costs for Athletics supervision, when necessary.
  • Accommodation Limitations: Not all requests can be accommodated due to the special nature of operations and inherent risks associated with the facilities.  All requests will be reviewed for approval by the Athletics Facilities Committee.

 

These policies are designed to ensure equitable access to our facilities while maintaining a safe and organized environment for all students. We appreciate your cooperation and understanding as we strive to meet the recreational needs of our campus community.

Offered below is our proposed start up offerings for all to participate, which will be staff dependent.

Request Process for Use of Athletics Facilities

Given the high volume and diverse nature of requests for the use of Athletics Facilities, all requests must be reviewed through the Facility and Events request process. The Athletics Facility Committee will review each request, considering factors such as:

  • Appropriateness of the activity
  • Safety and security requirements
  • Foreseeable liability concerns
  • Facility availability
  • Overall benefit to the University

This process ensures that all activities align with the University's goals and maintain the integrity and safety of our facilities.

Racquet Court Reservations - not required, but recommended

Studio Reservations:

  • Student Senate approved performance groups may request rehearsal times through a structured request process at the beginning of each academic semester; individuals or other groups are not able to reserve studios or space within Taylor Gym. Performance group presidents (provided on a list from Student Affairs) will be emailed in mid August with information about the reservation process and the timetable for reservations opening.
  • All clubs approved for studio reservations agree to follow all posted studio policies as well as club specific policies
  • Taylor Gym is an Athletics Facility and is therefore not reservable on 25Live by anyone outside of the Athletics administration. Inquiries may be sent to infitnes@lehigh.edu, and requests must be received a minimum of 7 business days prior to the requested timeslot.
  • Due to administrative demands, requests made less than 7 business days in advance will NOT be taken; NO LAST MINUTE REQUESTS WILL BE TAKEN.
  • Campus Athletics activities have priority facility scheduling. No outside group or special request for the academic year will be approved until Campus Athletics and Athletics facility schedules are finalized over the summer.
